Key Conditions

Health and Safety and Hygiene Regulations require us to ensure that the following three conditions are met:

  • Food will not be permitted to be brought onto the premises.

  • We do not provide facilities for self-catering.

  • Guests are not allowed to use the kitchen.

The bedrooms and premises are to be left in a clean and tidy condition. Where this is not the case, or where there have been breakages, Shekinah reserves the right to invoice the organisers of the visit to recover the cost of the cleaning or – in the case of breakages – repair or replacement.

Ideally, arrivals should be after 1.30pm and departures should be before 10.30am. Please contact us before your arrival date if you desire to have flexibility of such arrangements; depending on the particular circumstances, we will do our best to satisfy your request

General Conditions

Shekinah Christian Trust reserves the right to refuse any booking which is deemed unsuitable.

No activities, displays or publications arising from meetings at Shekinah Christian Trust are permitted which may bring the Trust into disrepute.

Visiting groups or individuals are responsible for insuring all equipment brought into the Centre.

Children and young people with groups must be supervised at all times.

Persons will be expected to be mindful of other users of the Centre.

Car parking is available for visitors to the Centre. Please park safely and considerately.

Particularly with regard group bookings it is recommended that you should take out cancellation insurance.

Day Events

Ideally, bookings should be made more than one calendar week before the date of the event.

A provisional booking will only be protected for two calendar weeks. Please be aware that, if the booking is not confirmed by the end of that period, we MAY allow the date to be taken by other visitors. It is strongly recommended that you should confirm your booking as quickly as possible.

 A non-returnable deposit of 20% of the expected cost is required at the time of confirming the booking. Only when payment of the deposit has been received, will your booking be secured.

If you do not, at the time of booking, know what the group size will be, you will be asked for an estimate of its size, and the deposit will be based on that number.

Full payment of the balance should be made on the day of the event, ideally via bank transfer by the person who made the booking – though cheques or cash are acceptable.

Where a full cancellation is made more than one calendar week before the event, if you request, we will try our best to transfer your booking to a later date within six calendar weeks of the original date; if that can be done, the deposit will be retained and used against that amended booking; if that is not possible, the deposit will not be able to be refunded.

Where a partial cancellation, reducing the number of meals required, is made less than 24 hours before the event we reserve the right to charge 50% of the cost of the meals of the non- attending guests.

Where a cancellation reducing the number of facilities (Conference, Lounge, Sheep Gate) required, is made less than one calendar week before the event, the full cost of the booked facilities will still be charged.

We regret that we do not offer the ability to provide separate invoices for individual members of a group.

The normal practice is that Shekinah will contact the group leader about two weeks before the visit to confirm numbers and discuss meal options.

If you have any special dietary requirements, please ensure that you inform us of them at least a week before your visit; otherwise, it is unlikely that we will be able to satisfy those requirements; it is the responsibility of the event organisers to avoid situations where we cannot provide such requirements.

Individuals wishing to use the Sheep Gate for mid-week prayer/retreat purposes may do so free of charge.  Please contact us in advance though, to check on the Sheep Gate’s availability, as it may already have been assigned to a prayer group. 

Residential Events

Ideally, bookings should be made more than one calendar week before the date of the visit. It is unlikely that group residential bookings will be able to be satisfied at short notice.

A provisional booking will only be protected for two calendar weeks. Please be aware that, if the booking is not confirmed by the end of that period, we MAY allow the dates to be taken by other visitors. It is strongly recommended that you should confirm your booking as quickly as possible.

A non-returnable deposit of £20 per person per night is required in order to secure a booking. Only when payment of the deposit has been received, will your booking be secured.

For group bookings, if you do not at the time of booking know the exact number in your group, you will be asked for an estimate of the group size and the deposit will be based on that number.

Please be aware that, in this situation, we may offer un booked rooms to other people who may wish to book them.  (So, say, if you book rooms for 15 people, that will leave un booked rooms being available for six people).

The normal maximum size for a residential group is 21 people, which will require shared occupancy of bedrooms. 

We may exercise our discretion to accept a booking for a slightly larger group, with additional people being accommodated via the use of, for example, air beds.  However this is at our discretion and, if you think your group may exceed 21, you must contact us in good time to ask if this will be possible and we reserve the right to decline this request.  If we do agree to accommodate extra people in this way then additional people will be charged on the same board option as the 21 people, but for meals only.

You will be required to provide a firm group number by 28 calendar days before the date of the visit together with definite confirmation of the board basis.  This will enable us to calculate the balance payable which will be due for payment no later than 7 days before the date of your arrival. Payment should ideally be made via bank transfer by the person who made the booking - though cheques or cash are acceptable.

For group bookings the person/organisation placing the booking will be the person/organisation invoiced for the deposit and the balance.

The ability to make ‘last-minute’ accommodation additions cannot be guaranteed.  Please contact us prior to your visit if such additions are required.  It is the responsibility of the group leaders to avoid situations where we cannot provide accommodation for additional people and to avoid situations where our Terms and Conditions do not satisfy your specific requirements.

If you have meal requirements which do not fit the standard patterns (bed and breakfast, half board, full board) please specify your requirements by 28 calendar days before the date of the visit.  It will be at our discretion whether to agree to a non-standard meal pattern.

Where a cancellation is made – and if you request - we will try our best to transfer your booking to a later date within six calendar weeks of the original date; if that is not possible, the deposit will not be refunded.

The normal practice with regard to meals is that Shekinah will provide a set daily menu with special dietary requirements catered for. 

If you have any special dietary requirements, please ensure that you inform us of them at least a week before your visit.
